Modes: autonomous or notify-only

Every reply

Decides what each reply needs

It answers, waits, follows up, hands off, or closes. It reads the tone, spots out-of-office replies, and knows if your link has gone out.

What each reply needs

  • “Sure, send me a time”

    Answer + link
  • “Out of office until Monday”

    Wait
  • No reply 2 days after the link

    Follow up
  • “What does it cost for 20 seats?”

    Hand off to you
  • “Not interested”

    Close politely
Follow-ups

Follows up with something new

If a prospect goes quiet, it follows up 5 times by default, on days 2, 3, 5, 7, 10. Each one says something new; "just checking in" never goes out.

Follow-ups when quiet

Default · 5 of up to 10
  1. Day 21

    Restate the value

  2. Day 32

    Remove the friction

  3. Day 53

    One proof point

  4. Day 74

    One qualifying question

  5. Day 105

    A graceful last message

Days count from the last message. Follow-ups wait for work hours.

Booking

Knows when the meeting is booked

With Calendly connected, each booking closes the conversation as won and moves the deal. You get an email for every booking and cancellation.

How a booking is detected

3 ways
  • Calendly integration

Bookings from your Calendly link are matched to the conversation.

  • The prospect says so

A reply that says the meeting is booked is read as a booking.

  • Mark meeting booked

One click in the conversation when the booking happened somewhere else.

Meeting booked · conversation closed as won · deal moved

A cancellation goes back to you. You get an email for every booking and cancellation.

FAQ

Questions about the AI Appointment Setter

How it books, when it follows up, when it hands off, and what it costs.

An AI appointment setter answers your prospects' replies and books the meeting for you. In Victoria AI SDR, the AI Appointment Setter answers each cold email and LinkedIn reply, sends your booking link, and follows up until the prospect books or says no. It writes from your campaign description and knowledge base, on any Victoria AI SDR campaign with a booking link added. When the booking shows up in Calendly, the conversation closes as won and you get an email.

No. It books through your own booking link, shared at most about twice in a conversation. It never proposes times or sends an invite, reminder, or confirmation. Calendly sends the invite once the prospect books, and you get an email about the booking.

Three ways. The Calendly integration, connected by OAuth, reads bookings by webhook or an hourly check and matches each one to a conversation by tracking tag, then email, then name. A prospect saying they booked counts too, and so does a click on Mark meeting booked in the Unified Inbox. On a booking, the conversation closes as won and an existing Simple CRM deal moves to the booked stage; on a cancellation, the conversation goes back to a person.

Turn on the AI Appointment Setter in Victoria AI SDR: when a prospect goes quiet, it follows up 5 times by default, on days 2, 3, 5, 7, 10 after the last message, and you can set up to 10. Each follow-up has one job: restate the value, remove the friction, one proof point, one qualifying question, a graceful last message, and "just checking in" is never sent. Each one still reads right if the prospect booked without replying. Follow-ups wait for the campaign's work hours; a reply to a prospect does not.

It closes the conversation politely and does not try to persuade. A clear opt-out goes on your organization's do-not-contact list, which covers every campaign and both channels, so that person is not contacted again.

When the conversation needs you: the prospect asks for a person, raises pricing, legal, contracts, security or a complaint, asks something outside the campaign material, or names a colleague as the right person. It also hands off after 12 replies in one conversation. You take over in the Unified Inbox and hand back when you're done. A hand-off nobody has claimed reminds you at 24 and 72 hours.

No, there is no draft-for-approval mode. To answer every reply yourself, use notify-only mode: the AI Appointment Setter emails you a brief on each reply, never messages the prospect, and you answer from the Unified Inbox. In either mode you can preview its replies before launch. Autonomous mode sends each reply after a 10-minute delay.

About 1.5 credits per conversation, from the same credits that pay for the rest of the AI work. The AI Appointment Setter is included with every plan and has no separate meter. The free trial ends early at 20 conversations, and billing starts then.
